THE LOXO GROUP: TERMS & CONDITIONS OF SERVICE
Effective Date: June 15, 2026
Last Updated: July 5, 2026
Please read these Terms and Conditions ("Terms," "Agreement") thoroughly before finalizing your itinerary, submitting a deposit, or utilizing the services provided by The Loxo Group ("the Company," "we," "our," "us"). The Loxo Group is a premier corporate concierge and experiential travel management enterprise operated under Loxo Concierge and Retreats, a legally registered corporate entity headquartered in Lusaka, the Republic of Zambia.
By executing a booking deposit, utilizing our digital platform via Travedeus, or commissioning a bespoke itinerary through our automated communication channels (+260 95 0841259), you ("Client," "Group Organizer," "Guest," "You") officially agree to be legally bound by the covenants outlined herein.
1. Scope of Bespoke Services
The Loxo Group operates as an elite corporate concierge and specialized retreat guide. We engineer, manage, and execute all-inclusive group itineraries, executive retreats, and family getaways. Our comprehensive services include, but are not limited to, luxury lodge allocations, guided safari excursions, private Lake Kariba vessel charters, and exclusive gourmet culinary catering executed by Chef Irene and our designated culinary team.
2. Currency, Rates, and Settlement Framework
- Base USD Pricing Policy: To protect operational integrity and insulate bespoke itinerary planning against local currency volatility, all rates across all regional and domestic expeditions—including local retreats, luxury transports, and day-trips within Lusaka—are strictly quoted in United States Dollars (USD).
- Zambian Kwacha (ZMW) Settlement Protocol: For clients settling invoices via local payment channels (Zambian Mobile Money or domestic bank transfer), the final payable Kwacha amount will be calculated using The Loxo Group Daily USD Exchange Settlement Rate applicable on the exact date of payment.
- Campus Cash Deposits: Physical cash payments handed directly to authorized Loxo Campus Representatives must be verified upon delivery, at which point an official digital proof-of-payment receipt will be dispatched via official company communication channels.
3. Cancellations, Rescheduling, and Forfeiture Protocol
Because we block-book low-density, highly exclusive elite resources and luxury properties significantly ahead of schedule, our refund and cancellation architecture is strictly enforced:
Cancellations Initiated by the Client:
- Cancellations made 30 days or more prior to departure: The Client is eligible for a 75% refund of total monies paid, with 25% retained as a non-refundable administrative and vendor reservation deposit.
- Cancellations made between 14 and 29 days prior to departure: The Client is eligible for a 50% refund of total funds paid, as initial lodge blocks and vessel commitments are legally finalized.
- Cancellations made between 7 and 13 days prior to departure: The Client is eligible for a 25% refund of total funds paid.
- Cancellations made fewer than 7 days prior to departure (or No-Shows): 100% of all funds received are entirely non-refundable and non-transferable, as all regional permits, vessel charters, fuel allocations, and catering inventory will have been fully dispatched and paid out.
Bespoke Rescheduling: At our sole discretion, and subject strictly to the availability of our partner properties across Lusaka and Kariba, a group may request to reschedule their itinerary dates. Rescheduling requests must be submitted in writing at least 21 days prior to departure and may be subject to administrative processing fees and seasonal rate adjustments.
Cancellations Initiated by the Company: In the highly exceptional event that the Company must cancel an itinerary due to unforeseen internal operational failure, a 100% refund of all monies received will be wired back to the client immediately, terminating all further corporate liability.
4. Culinary Execution, Dietary Supervision, and Wellness
Chef Irene’s Catering Restrictions: It is the absolute and sole responsibility of the Group Organizer to provide a unified, comprehensive written brief details any severe food allergies, medical dietary restrictions, or faith-based dietary preferences within the group. This brief must be submitted at least 7 business days prior to the itinerary commencement. While Chef Irene’s culinary team exercises maximum precision in menu cross-contamination prevention, the Company assumes zero liability for adverse reactions stemming from undisclosed or vaguely detailed medical and dietary profiles.
Experiential Safety: While our wilderness safaris, boat cruises, and tracking excursions are managed by seasoned, licensed professionals, guests explicitly acknowledge that luxury travel within untamed ecosystems involves inherent environmental risks. Guests must strictly adhere to all local wildlife regulations, vessel safety briefings, and park authority directives.
5. Cross-Border Compliance and Legal Documentation
Our operations bridge the sovereign borders of Zambia and Zimbabwe. All guests are individually and exclusively responsible for securing and maintaining valid passports (with at least 6 months validity remaining), proper tourist or business entry visas, and relevant health, vaccination, or medical certificates required by immigration border posts at the time of travel. The Loxo Group accepts zero financial or operational responsibility for itinerary disruptions, missed connections, or financial losses caused by border entry denials or deficient personal credentials.
6. Force Majeure (Unforeseen Disruption)
The Company shall not be held liable, financially responsible, or legally negligent for delays, failures in execution, or complete cancellations resulting directly from an Act of God, unexpected cross-border closures, national health mandates, civil unrest, or extreme weather anomalies rendering Lake Kariba or safari sectors unsafe for transit. In such occurrences, the Company will act with absolute ethical integrity to defer, salvage, or restructure your experience for a future timeline.
7. Limitation of Liability
To the maximum extent permitted by statutory law, The Loxo Group, its directors, and its culinary leads (including Chef Irene) shall not be liable for any direct, indirect, incidental, or consequential injuries, property losses, or emotional distress sustained by guests during transit, lodging, or excursions, save for instances arising directly from proven gross corporate negligence.
8. Governing Law and Jurisdictional Mandate
This Agreement, its interpretation, and any subsequent legal disputes arising out of our corporate concierge operations shall be governed by, and construed exclusively in accordance with, the statutory laws of the Republic of Zambia. Any formal legal actions or mediation proceedings must be initiated solely within courts of competent jurisdiction sitting in Lusaka, Zambia.
9. Execution and Final Acknowledgement
By proceeding to fulfill an invoice, remitting a digital payment link, or issuing a deposit via our Travedeus channel, you explicitly verify that you are the legally authorized representative of your group or corporate body, and that you fully understand, consent to, and execute this Agreement with total clarity.
